Most NDIS providers have mountains of data inside ShiftCare and almost no visibility into what it's telling them.

Before You Open a Single Report: Clean the Setup
If the setup is sloppy, the exports lie. Four things to fix first:
• Standardise Client Types, Document Categories, and Job Titles in Account Settings. Too many labels create fake complexity and broken reports.
• Fill in the client profile completely — prospect status, fund setup, price book, team, review date, language, DOB. Half-empty profiles force expensive decisions off memory.
• Record every contact around the client, including the referring Support Coordinator with the date they referred. That date is what lets you score referral partners later.
• Separate General Client Info (visible to rostered staff) from Additional Information (office-only — commercial viability, intake flags, funding reviews).

The Five ShiftCare Reports Most NDIS Providers Never Open
For a referral strategy, you need numbers, narrative, and serviceability. Five reports cover all three.
Activity Report. Your baseline. Hours, miles, allowances by staff or client. Start here every time.
Performance Report. Booked, pending, invoiced, and cancelled shift amounts over time. Where revenue leaks surface.
Communications Export. Filter by inquiry, incident, or feedback. This is where "wrong-fit participant" stops being a feeling and becomes evidence — repeated coordination issues, incident patterns, document chase loops.
Client Full Report (PDF). The referral tool most providers don't know exists. A time-limited PDF of care plan progress, daily records, goals, medication, and communications — safe to share externally by design. After onboarding, send it to the referring Support Coordinator: "Here's a report so you can see how your client is settling in." No other provider in your area is doing this.
Control Reports. Document Expiry and Clock In/Out Variance. Small leaks that compound into audit risk and margin loss — the same gaps the NDIS Quality and Safeguards Commission flags in findings.

From Reports to Referral Strategy
The five reports give you the raw material. The playbook turns them into three things:
A participant fit rulebook. A green/amber/red framework so intake decisions aren't made out of guilt or fear. Clear funding, right service line, and captured contacts go green. Unclear funding, wrong service fit, or chaotic comms at intake go red.
A referral partner scorecard. A simple spreadsheet ranking every Support Coordinator by client type, active percentage, documentation, funding clarity, comms friction, and incidents. End each row with one decision: invest more, nurture slowly, or deprioritise. Not a CRM — a decision tool.
A different conversation. Data doesn't close the deal, but it changes what the conversation sounds like.
